Outreach emails

Follow-up emails that stop the moment a store replies

Most stores answer the second or third email, not the first. LaunchPal sends a short run of follow-up emails to each store, and stops the moment anyone there replies.

Why one email is not a campaign

A store owner reads your first email at the counter, means to reply, and gets pulled away by a delivery. The second email reminds them. The third is often the one they answer. In the campaigns we run, most replies arrive on the second or third email. Follow-ups are one part of how we write outreach emails; this page covers how they are paced and when they stop.

Sending one email and waiting is the most common reason brands decide outreach does not work for them. It usually does. They stopped too soon.

How a sequence works

Each store gets its own short sequence, set up before you launch.

  1. The first emailWritten for that store, around what we learned about it and why your product fits. See personalised emails.
  2. Follow-ups on your timingA go-to-market campaign sends the first email and three follow-ups. An awareness campaign sends five emails in all. You choose the gap between them. See awareness vs go-to-market.
  3. Written for the same storeEach follow-up is written for that store too, so it reads as a note to them, not a "just checking in".
  4. It stops itselfThe moment the store replies, every email still waiting for that store is cancelled.

What stops a sequence, and what does not

A follow-up should never land on someone who has already answered or asked you to stop.

  • A reply stops it. Interested, not interested or a question: any real reply cancels the rest for that store.
  • An unsubscribe stops it. Every cold email and follow-up carries an unsubscribe link. The address goes on your do-not-contact list and is never emailed again.
  • A hard bounce stops it. An address that does not exist is blocked across all your campaigns.
  • An out-of-office does not. Auto-replies are recognised and do not count as a reply, so the sequence carries on as planned.

You stay in control

Nothing goes out until you press Start. Before then you can read every email for every store, edit any of them, or remove a store. After launch you can still edit any email that has not been sent.

Once a store replies, it is your conversation. The AI does not answer for you. The reply lands in your inbox, matched to the store, and you take it from there: samples, prices, the first order.

What a good follow-up says

A follow-up earns a reply when it gives the owner a new reason to answer: a nearby stockist, a serving idea, a small trial offer, or a plain question about who handles their ordering. It fails when all it says is that it is following up. Leave a few days between emails. Too close reads as pushy, and too far apart the first email is forgotten.

Paced, never blasted

Follow-ups go out at the same steady pace as first emails, on the sending days and hours you choose. New mailboxes start slowly and build up, so a big list never leaves in one burst, and each sends from a separate domain we set up for you, never your own.

See which email does the work

The campaign report shows the reply rate for each step, so you can see whether the first email or the third is earning the replies. If the first email gets nothing and the third does well, that tells you something about your opening line.

For what to say in each step to a café owner, see our guide to getting your product into cafés. Drinks brands will find the venue-by-venue version in beverage sales.

Questions brands ask

How many follow-ups do you send? Isn't one email enough?

One email is rarely enough. A go-to-market campaign sends the first email and three follow-ups, and an awareness campaign sends five emails in all. Most replies come on the second or third.

Will it send automatically, or do I copy and paste?

It sends for you, but only after you press Start. Before that, nothing goes out, and you can read and edit every email.

What happens when a store replies?

The rest of that store's sequence is cancelled straight away and the reply lands in your inbox. You answer it yourself; the AI does not reply for you.

Can I write the follow-ups myself?

Yes. You can edit any email before it is sent, or rewrite it entirely in your own words.

Do out-of-office replies stop the sequence?

No. They are recognised as auto-replies and do not count as a reply, so the follow-ups carry on as planned.
