Free line sheet template for food and drink brands
Fill in this line sheet template in your browser: your products, case sizes, wholesale prices, RRP and terms. It works out the case price and the store's margin as you type. Then print it, or choose Save as PDF in the print window.

What a line sheet is for
A line sheet is your wholesale price list: every product a store can order, with the numbers a buyer needs to say yes. It is one of our free tools, and it is the document stores ask for most often once they reply. "Can you send me your wholesale prices?" is one of the most common ways a good reply starts.
Fashion line sheets are about seasons and colourways. A food and drink line sheet is simpler and stricter: the buyer is checking margin, case size, shelf life and how fast you can deliver.
What to put on it
- Product and size: the name the store will put on its shelf ticket, and the pack size.
- SKU or barcode: stores with a till system need the barcode to list you.
- Units per case: stores order by the case, so say how many are in one.
- Wholesale price per unit: before tax. The template works out the case price.
- RRP: the shelf price you suggest. The template works out the store's margin from it, taking out GST or VAT if your RRP includes it.
- Terms: minimum order, lead time, delivery and payment terms. If a store has to email you to ask, the order waits.
- How to order: one name, one email, one phone number.
Get the numbers right first
If the store's margin column shows less than about 30%, many independent food and drink stores will pass. Check your prices in the wholesale price calculator before you fill this in, and leave room for a distributor later. Our distributor guide explains why.
When to send it
Not in your first email. Attachments and extra links in a cold email push it towards spam, and a store that did not ask for a price list will not read one. Send a short, plain email, and send the line sheet when the store replies and asks. Our follow-ups stop the moment a store replies, so you are never chasing someone who already answered.
Bring a printed copy to tastings and visits, and pair it with a one-page sell sheet for the product you lead with.
A line sheet stores can order from
A PDF works, but a store still has to email you an order and you still have to type it up. In Flow, your line sheet is a page a store opens and orders from. Each product carries its wholesale price, the store's margin and the RRP, and an order moves the store to its first order on your board, so the reorder check-ins start on time.
When you are ready for stores to reply in the first place, see who would stock you.
Questions brands ask
What is the difference between a line sheet and a price list?
For food and drink they are close to the same thing. A line sheet adds what a buyer needs to order: case sizes, barcodes, RRP, margin and terms.
Should a line sheet include the retail price?
Yes. Stores work out their margin from your suggested shelf price, and showing it saves them the maths.
Is my line sheet saved anywhere?
No. Everything stays in your browser and is gone when you close the tab. Print or save the PDF before you leave.
How do I save it as a PDF?
Press Print or save as PDF, then choose Save as PDF as the printer. On a phone, open the print screen and save or share it as a PDF from there.
Can I attach my line sheet to my first email?
Better not. Attachments in a first email push it towards spam. Send it when the store asks.
